BVPS manages intake directly with families. This includes collecting background information, records, and required forms, as well as supporting families in completing pre-visit questionnaires and rating scales when appropriate. Our goal is to make the on-site day focused, organized, and clinically efficient.
Hosting Model
Your organization hosts the evaluation location. BVPS clinicians arrive with testing materials and a coordinated plan for day-of flow. When needed, we can help identify a nearby private space if your site cannot provide the required privacy or room setup.

BVPS offers a private-pay model for on-site evaluation days. Families work directly with BVPS for intake, consent, services, and payment. No referral incentives or compensation are offered or provided.

  • Travel costs are planned in advance and handled transparently.
  • When multiple evaluations occur in the same block, travel-related expenses may be distributed across participating families (when applicable).

No. This partnership is strictly about improving access to evaluations for the families we serve. BVPS does not offer referral incentives, kickbacks, commissions, or compensation of any kind for sending clients their way. Your role as a host site is to provide a setting and help coordinate logistics—not to receive financial benefit from referrals.

How is privacy handled on-site?

Privacy is treated as a priority from planning through the evaluation day. BVPS provides a space and workflow checklist so we can set up rooms in a way that supports confidentiality. Evaluations are completed in private rooms, with scheduling designed to reduce overlap in hallways and waiting areas. Intake paperwork and clinical information are handled directly between the family and BVPS, and we avoid collecting or sharing private clinical details unless a family has provided written consent for information exchange.

Who handles intake, consent, and scheduling?

BVPS manages the full clinical intake and consent process directly with each family, including forms, records requests, rating scales, and appointment confirmations. As the hosting organization, your role is to identify families who may benefit, share the opportunity, and connect interested families to BVPS’s intake process. Once the family engages, BVPS takes over scheduling and clinical coordination so your team isn’t burdened with paperwork or back-and-forth appointment management.

What does scheduling typically look like?

Scheduling is organized in planned blocks based on the number of evaluations and the type of testing needed. Evaluation days may be structured as a half-day, full-day, or multi-day event. BVPS works with the host agency ahead of time to map the day’s flow (arrival timing, room use, transitions, and breaks) so we can keep the environment calm and predictable. If we anticipate recurring needs, we can also explore recurring evaluation days to reduce ongoing waitlists.

What turnaround time should we expect for reports?

Report turnaround time is typically 14 business days. In more complex cases, it may take up to 21 business days, although that is rare. Timelines can vary depending on factors such as case complexity, the type of evaluation, and how quickly records and rating scales are returned. During the planning process, BVPS will provide clear expectations so families understand what to expect. If your organization needs documentation for service authorization or care planning, we can also help clarify timing and how any optional information-sharing may occur with the family’s consent.

Can our staff observe the evaluation or participate during testing?

In most cases, no. To protect privacy and maintain the integrity of standardized testing, evaluations are typically conducted one-on-one between BVPS and the client (and a caregiver when clinically appropriate). If staff involvement would be helpful for coordination (for example, supporting transitions or ensuring the space stays quiet), we can assign a non-clinical point of contact for day-of logistics. Any clinical participation or observation would only be considered if it’s clinically appropriate and explicitly authorized by the family in writing.

Will BVPS share results or reports with our organization?

Reports and clinical findings are shared directly with the family, since families work directly with BVPS. If a family wants your organization to receive the report, BVPS can share information only with the family’s written consent and in a way that supports confidentiality. We can also coordinate consent-based communication pathways in advance (for example, where families want results sent, who should receive them, and what format is acceptable).
