BVPS Traveling Diagnostic Process
1. Initial Consultation: It begins with a conversation. We learn about your concerns, history, and goals to determine whether traveling services are clinically appropriate.
2. Eligibility & Location Planning: Our team confirms state eligibility, determines travel distance, and secures a private, local safe evaluation location near Houston or your PSYPACT state.
3. Two-Staff Evaluation Team: For every traveling evaluation, two experienced staff members are present to ensure safety, efficiency, and thorough assessment in off-site locations.
4. Comprehensive Evaluation Testing includes:
Clinical and diagnostic interviews with the individual and caregivers
Behavioral observations
Standardized cognitive and developmental measures
Adaptive functioning assessments
Questionnaires completed by caregivers, educators, or other informants
5. Analysis & Diagnosis: Our providers carefully analyze all data using DSM-5-TR criteria and deliver clear feedback with written reports and recommendations.

Transparent Pricing for Traveling Evaluations
Traveling Neurodevelopmental Evaluation Services are private-pay only. Insurance is not accepted for this service. Payment plans may be available upon request.
Travel distance and pricing are determined based on mileage from BVPS’ primary Texas clinical operations hub located in San Antonio.
We require a minimum of two weeks’ notice to schedule a traveling evaluation. This allows time for appropriate planning, clinician coordination, and travel arrangements.
Base Evaluation Fee

The base fee covers the comprehensive neurodevelopmental evaluation, clinical analysis, and written report.

  • Ages 0–5: $2,000
  • Ages 6–17: $2,500
  • Ages 18+: $3,000
Travel & Accommodations Fee

In addition to the base evaluation fee, a customized travel package will be added. This package includes:

  • Round-trip travel
  • Lodging accommodations
  • Private evaluation space arrangements (if needed)
  • Transportation and logistical coordination

Travel package pricing is based on current travel rates, distance, and scheduling logistics.

Because each trip is uniquely coordinated, families must complete the request form to receive a detailed quote.

Deposit Policy
  • 35% non-refundable scheduling deposit due at booking
  • Additional 50% balance due on the day of evaluation
  • Remaining 15% balance due 14 days after the evaluation

If I’m in-network with an insurance you accept, can insurance cover part of the evaluation while I pay privately for travel?

At this time, no. To prevent billing complications (such as fee unbundling) and ensure compliance with insurance regulations, Traveling Neurodevelopmental Evaluation Services are offered as a fully private-pay service. Families who wish to use insurance may choose our virtual evaluation option.

Why does insurance cover virtual testing but not in-person traveling evaluations?

Insurance plans generally reimburse for clinical services but do not cover travel, lodging, private space rental, or additional staffing required for mobile evaluations. For this reason, this service are structured as a separate service.

What ages are eligible?

We provide traveling autism and ADHD evaluations for individuals of all ages — from toddlers through adulthood. During your initial consultation, our clinical team will review the individual’s age, developmental history, and current concerns to confirm that a traveling evaluation is clinically appropriate and to determine which assessment tools will be used.

Because evaluation needs vary significantly by age group, pricing is structured accordingly and will be reviewed in detail before scheduling.

Where will the evaluation take place?

Evaluations are conducted at a private, secure location arranged entirely by our team. Families do not need to rent space, reserve rooms, or coordinate logistics.

When serving families in Houston or elsewhere in Texas, we carefully select locations that meet privacy, safety, and testing standards. For families in PSYPACT-authorized states, we follow the same process. Our goal is to create a calm, professional environment that allows for accurate testing and a comfortable experience for the individual being evaluated.

How long does the evaluation take?

Most traveling neurodevelopmental evaluations take several hours to complete, depending on the individual’s age, developmental profile, and the number of assessment components required.

Before your appointment, our team will provide a clear outline of what to expect, including estimated timeframes and any preparation needed. We build in breaks as appropriate and strive to make the day manageable, especially for younger children or individuals with sensory sensitivities.

Why are two staff members required?

For all traveling evaluations, two experienced clinicians are present. This is essential for both clinical quality and safety when evaluations take place in private, off-site locations.

Having two clinicians allows us to efficiently administer multiple assessment components, gather thorough observations, and ensure the highest standard of care. This model also supports a smoother experience for families and helps us complete comprehensive evaluations within an appropriate timeframe.

To begin, families complete an intake form or contact our office to request a consultation. During that conversation, our administrative team and clinicians review the concerns, confirm eligibility in Texas or a PSYPACT-authorized state, and determine whether traveling services are the right fit.

If moving forward, we outline pricing, travel tier, deposit requirements, and scheduling options before collecting any payment. A deposit is required to reserve your evaluation date, and our team remains available to answer questions and guide you through every step of the process.

Can families outside Texas use this service?

Yes. In addition to serving families throughout Texas and California, Burns Virtual Psychological Solutions can provide traveling evaluations in states that participate in PSYPACT.

During your consultation, we verify licensure eligibility for your state and review travel logistics and pricing tiers based on distance and complexity. Our team handles coordination so families outside Texas and California can access the same level of thorough, compassionate care.
